Role Description
• Facing off to the Neptune demand management team, be the point person for the group on managing the overall Neptune demand for IB
• Maintain IB’s application scope for Neptune, the overall delivery schedule, and an app ‘waiting list’
• Take ownership of the demand management asks coming from the central programme (e.g. what’s IB exposure
• Support the creation of IB’s Neptune delivery governance deck
• This role is a analytical PM role.
• Coordinating yearly budget planning for the Technology Programs, reporting current demand pipeline and sharing top-down targets with the team
• Ensuring bottoms up planning is in line with the top-down target in the system
• Reporting the gap between original ask and approved budget along with identifying and highlighting associated delivery risks
• Controlling purchase orders, renewing vendor resources to avoid delivery… impact and tracking timely invoice reconciliations to avail discounts from the vendors
• Supporting on annual planning cycles and ongoing governance of the book of work, including milestone and benefits management, adherence to governance frameworks and others.
• Supporting with key people initiatives and communication activities within the group.
• Managing multiple ad hoc and short timeframe requests.
• Develop & maintain collaborative working relationships with partner teams including Finance, COO, HR, Program Managers
• Provide high quality end to end reporting & analytical services
• Leverage best practices & process excellence ways of working across all processes
• Supporting with key people initiatives and communication activities within the group.
• Identify opportunities for process improvement and automating current business process to avoid manual intervention
• Produce dashboards & monthly MI
• Secretariat function for UK Senior Manager for Technology. This will entail:
• Collating materials and preparing governance packs for London Branch governance fora such as
• London Branch Board technology updates
• Operational Resilience
• UKI TDI Council
• Non Financial Risk Council
• Risk Council
• Minute taking and issuance of minutes for Operational Resilience and UKI TDI Council
• Tracking actions, working with action owners for updates and how to close actions from those councils
• Maintenance and update to key governance documents such as Reasonable Steps Assurance Framework. This will require close collaboration with UK Country Management office as well as the Senior Manager for Technology and the Significant Harm Functions (SHF) supporting that person
• Preparation of materials to support the Senior Manager for Technology in regulatory meetings with the UK regulators (FCA/PRA). This can cover broad topics such as Payments stability, cyber risk, AFC, Cloud/cirrus, Data
• Preparation and minute taking for monthly SHF meetings that are held with each SHF that supports the Senior Manager for Technology and tracking resolution of the resulting actions with those SHFs.

Your Key Responsibilities
• Provide high quality end to end reporting & analytical services
• Develop & maintain collaborative working relationships with partner teams including Finance, COO, HR, Program Managers
• Understand the cost drivers within cost base to provide insight to COOs / Program managers / Project managers
• Vendor governance, financial governance in Clarity
• Prepare & review monthly forecasting, full year plan in Clarity
• Leverage best practices & process excellence ways of working across all processes
• Target Operating Model (Definition & execution of TOM), closely track the headcount movements and provide update to the management
• Proactively identifying, reconciling and escalating expenses vs budget issues
• Identify opportunities for process improvement and automating current business process to avoid manual intervention
• Responsible for managing the cost allocation and handling business queries
• Timely respond to ad-hoc queries form senior management
Your Skills And Experience
• Strong financial planning and control, and financial management experience with recent experience of portfolio budget management and monthly financial forecasting and reporting.
• Project Management experience and ideally experience would be from working in a COO or PMO type function.
• Demonstrable experience of managing projects, and experience in using Clarity would be advantageous.
• Proven cross-functional activity between project management, financial planning and resource management in a fast-paced environment.
• Demonstrable collaborative working and working as part of a team in a fast-paced and changing environment and ability to multi-task and prioritise, managing multiple priorities at the same time.
• Proficient in MS office tools
• Knowledge in working on Clarity Tool and Ariba / dbBuyer (P2P system) will be an added advantage
